Terms for gyms
← All documentsLast updated: October 25, 2026.
These terms are the agreement between your gym and Gymyos for using the gym panel. The gym owner accepts them on behalf of the gym when entering the panel. They are in addition to the Gymyos Terms and conditions, the Privacy notice and the Member data processing agreement. If you don't agree, don't use the panel.
1. What Gymyos gives your gym
The gym panel lets you run your gym's daily operation from one place:
- Your branches, your staff and their permissions: owner, branch manager, front desk and trainers.
- Your member roster, with their memberships, pauses and renewals.
- Your products: memberships, passes, class packs and add-ons, with their prices, promotions and validity.
- The front desk: selling to and charging your members, a daily cash drawer per person, entries with the app's QR code, and refunds.
- Reports on members, attendance and occupancy, and an Excel download of your member roster.
- Your page in the public gym directory on gymyos.com.
- If your country has GymyosPass and your gym joins the network, receiving people with GymyosPass, as described in the GymyosPass revenue sharing rules.
Gymyos may set limits for your gym, for example how many branches, active members or trainers you can have, how your page looks in the directory, and whether you have internal challenges or comparative reports. Your limits are shown in the panel. If a limit goes down, what you already have keeps working; you just can't add new ones until you are below it.
2. Your collaborator
Every gym has a Gymyos collaborator who looks after it: they help you sign up, explain the panel, propose your rent terms to Gymyos, and are your contact for questions, changes or leaving Gymyos. Gymyos may change the collaborator who looks after your gym.
3. Rent per user
For using the panel, your gym pays Gymyos a rent each period:
- The rent is a fixed fee for each user you manage through Gymyos. Your fee, the length of your period (1 to 12 months) and the time you have to pay (1 to 90 days) are shown in the panel under «Rent».
- Every person who had a valid access product at your gym (membership, pass or class pack) at any moment during the period counts. Add-ons alone don't count.
- Each person counts only once per period, even if they renew or have several products.
- People who were paused for the whole period don't count, and neither does anything that was cancelled or refunded.
- Periods start at midnight in your gym's country time.
- Under «Rent» you can always see how many people have been counted so far in the current period and the amount so far.
- When the period closes, your rent is issued with the list of people counted. That list is final: a later sign-up or cancellation doesn't change it.
- If your fee, period or payment time changes, the change applies from the next period, never the current one, and you see the new terms in the panel before they start.
- If your gym is only in the GymyosPass network and doesn't use the panel with its members, it doesn't pay rent.
4. How rent is paid
- When your rent is issued, we notify you in the panel. The owner or a branch manager pays it from «Rent» by card, OXXO or bank transfer. Payments are processed by Stripe; Gymyos does not store your card details.
- You have the time shown on your rent to pay it. If it expires unpaid, it is marked as late and we notify you and Gymyos.
- If it's still unpaid after the number of days Gymyos sets, your gym's panel is suspended automatically. We warn you 3 days before and on the day it happens. While it lasts, you can only pay the rent, ask for help and record your members' check-ins with their QR. Paying lifts it automatically.
- If Gymyos allows paying rent in person in your country, only the collaborator linked to your gym or Gymyos can receive it. Don't pay rent to anyone else.
- Every payment stays in the panel with its receipt number.
5. Gymyos subscriptions sold at your front desk
If Gymyos offers your gym the option to sell app subscriptions at your front desk:
- They are sold at the national price set by Gymyos, without gym discounts or promotions, and only to people who have, or buy in the same sale, an access product at your gym.
- The person has one week to cancel it.
- Part of each sale belongs to Gymyos: a percentage of the price before taxes, shown in the panel. You collect the full amount and hand over Gymyos's part with your next rent.
- If you refund the access product, the subscription sold with it is cancelled or continues according to the rule shown in the panel.
6. Your gym's responsibilities
Your gym is independent from Gymyos and is responsible for:
- Its facilities, equipment, cleanliness and the safety of people who train there.
- Its classes, its trainers and how it treats its members and visitors.
- Its prices, promotions, refund rules and everything it charges its members at the front desk. That money belongs to your gym and does not go through Gymyos.
- Its invoices, taxes and tax details, which it must keep up to date in the panel.
- Its members' data, as described in the Member data processing agreement.
- What it publishes on its directory page: name, description, hours, photos, phone, email, website and Instagram must be real and up to date.
- Which staff members have access to the panel and what permissions they have. Remove access for anyone who stops working with you.
7. Your account and security
- Each staff member signs in with their own account. Don't share passwords.
- We recommend turning on two-step verification on the owner's account.
- Let us know at [email protected] if someone accessed your gym's panel without permission.
8. Leaving Gymyos
You can leave Gymyos whenever you want. Ask your collaborator; they process the exit. When you leave:
- Your gym is removed from the directory, stops selling through Gymyos and stops generating rent. Rent already issued must still be paid.
- All your staff's permissions in the panel are removed.
- Gymyos subscriptions you sold at your front desk are not cut off: Gymyos gives each person an equivalent subscription for the days they had left, at no cost to them or to you.
- Before leaving, download your member roster and your reports.
If your gym is in the GymyosPass network, leaving the network has its own timeline: a 3-month trial when joining and 30 days' notice to leave, as described in the GymyosPass revenue sharing rules.
9. Suspension
For overdue rent, the panel is suspended automatically as the rent section says. Gymyos may also suspend or close your gym's access to the panel if it breaks these terms, puts other people or the service at risk, or uses Gymyos for something illegal. When possible, we'll warn you first and tell you why. You can ask us to review it at [email protected].
10. Availability and liability
We do our best to keep the panel always working, but there may be pauses for maintenance or failures. Download your member roster and reports regularly. To the extent the law allows, Gymyos is not responsible for what happens inside your gym, for injuries to your members, for what you charge or fail to charge at your front desk, or for indirect damages or lost profits.
11. Changes to these terms
If we change these terms, we will publish the new version with its date and ask you to accept it when you enter the panel. Changes to your rent fee or period are not made through these terms: they are shown under «Rent» and apply from the next period.
12. Governing law
These terms are governed by the laws of Mexico.
13. Contact
Write to us at [email protected] or use «Help» inside the panel. For day-to-day matters, your collaborator is your first contact.
